Built-in Furniture Handover Checklist: What Should You Inspect Before Accepting the Work?

When built-in furniture installation is nearly complete, one of the most important steps is the final inspection before handover.

A built-in project may look complete at first glance, but small issues such as uneven cabinet lines, misaligned doors, rough joints, damaged surfaces, or malfunctioning hardware can affect everyday use.

A proper handover inspection should therefore go beyond asking whether the furniture “looks good.” You should check the construction, installation, materials, hardware, functionality, finishing details, and whether the completed work matches the agreed design.

Here is a practical checklist you can use before accepting a built-in furniture project.

1. Check Whether the Finished Work Matches the Approved Design

Start by comparing the completed furniture with the approved drawings or 3D perspective.

Check:

Furniture locations
Overall dimensions
Number of cabinets
Number of doors and drawers
Door design
Materials and colors
Shelf positions
Special functions
Accessories and hardware

If you have approved drawings or 3D perspectives, compare the actual installation with them section by section.

Do not inspect only the overall appearance. Check the details against the agreed specifications.

2. Check Cabinet Alignment and Level

Built-in furniture should be properly aligned and proportioned to the space.

Look for:

Leaning cabinets
Uneven vertical lines
Uneven horizontal lines
Inconsistent cabinet gaps
Misaligned doors
Poor connections between cabinets, walls, and ceilings

This is especially important for large built-in walls where small alignment errors can become very noticeable.

3. Check Every Cabinet Door and Door Gap

Cabinet doors are highly visible, so inspect them carefully.

Open and close every door and check:

Are the gaps consistent?
Are the doors aligned?
Is any door tilted?
Do doors collide with each other?
Do they close properly?
Are there unusual sounds?
Are the edges properly finished?

For multiple doors installed next to each other, check the overall alignment rather than inspecting each door individually.

4. Test Every Drawer

Do not simply confirm that all drawers are present. Open and close every drawer.

Check:

Whether the drawer opens fully
Whether it hits another component
Whether the drawer runner works smoothly
Whether the drawer supports the intended load
Whether it closes properly
Whether Soft-close works if specified
Whether the handle or opening mechanism functions correctly

Drawers are often used frequently, so every drawer should be tested before handover.

5. Test Hinges and Soft-close Systems

If Soft-close hinges are included, test every relevant cabinet door.

Check whether:

The hinges operate correctly
Doors close smoothly
Doors do not slam
Doors close completely
The Soft-close mechanism works consistently

Do not test only one cabinet and assume the rest are fine. Each hardware point should be checked.

6. Inspect Surfaces, Finishes, Colors, and Materials

Inspect the furniture under sufficient lighting.

Look for:

Scratches
Dents
Cracks
Glue marks
Uneven surfaces
Damaged edges
Incorrect colors
Irregular wood grain
Surface defects

For painted furniture, inspect the surfaces from different angles because lighting can reveal imperfections that are not visible from one direction.

7. Check Joints and Edge Finishing

Small details around joints can significantly affect the overall appearance.

Inspect:

Panel joints
Corner joints
Edge finishing
Silicone lines
Sealant
Connections between furniture and walls
Connections with floors and ceilings

Joints should be clean, consistent, and appropriate for the material and installation location.

8. Check Stability and Structural Strength

Appearance is only one part of a completed built-in project. Stability is equally important.

Pay particular attention to:

Wall-mounted cabinets
Floating shelves
Tall cabinets
Kitchen cabinets
Desks
Heavy storage units

Do not perform aggressive load tests. Instead, check whether the furniture moves, shakes, or appears unstable during normal use.

If you have concerns about the structure, discuss them with the contractor or manufacturer before accepting the work.

9. Check the Interior of Every Cabinet

Do not inspect only the visible exterior.

Open every cabinet and check:

Shelves are complete
Internal dimensions match the design
Adjustable shelves work properly if specified
There is no leftover debris
Cable access is available where required
Appliance openings are correctly sized
Special storage functions work properly

For kitchens and storage cabinets, placing some of the actual items inside can help confirm whether the storage design works in practice.

10. Test Integrated Lighting

If the built-in furniture includes LED or integrated lighting, test every light.

Check:

All lights turn on
Light color matches the agreed specification
Switches work correctly
Wires are properly concealed
No unnecessary cables are visible
Cabinet lighting operates as designed

Inspect the furniture both with the lights on and off.

11. Check Electrical Outlets and Appliances

Built-in furniture often needs to work together with electrical appliances.

Check:

Outlet locations
Ventilation openings
Appliance door clearance
Cable routes
Maintenance access
Installation dimensions

For kitchens, open drawers, cabinet doors, and appliances at the same time to make sure they do not interfere with one another.

12. Check Site Cleanliness

Before handover, the installation area should be clean and ready for use.

Look for:

Wood dust
Drilling debris
Glue residue
Silicone residue
Paint marks
Protective films that should have been removed
Debris inside cabinets
Dust around the installation area

The completed furniture should be handed over in a usable condition.

13. Inspect the Surrounding Area

Do not inspect only the built-in furniture itself.

Check the surrounding area for:

Wall damage
Floor scratches
Ceiling damage
Door-frame marks
Damaged switches or outlets
Existing appliances that may have been affected

This helps distinguish new installation-related damage from existing conditions.

14. Review the Full Handover List

Before signing the handover document, compare the completed work with the agreed scope.

You can divide the inspection into:

Completed

The item is finished and works properly.

Requires Correction

The item is installed but needs adjustment or repair.

Incomplete

The item has not yet been installed or cannot yet be fully inspected.

Take photographs of any issue and record the details clearly so both parties have the same understanding.

15. Ask About Warranty and Maintenance

After the physical inspection, make sure you understand the warranty and maintenance terms.

Ask about:

Installation warranty period
Material warranty
Hardware warranty
Who to contact if a problem occurs
How different materials should be maintained
The process for requesting repairs after handover

Keep these documents with your project records for future reference.

5 Simple Rules for a Built-in Handover Inspection

If you do not have time to inspect every detail, remember these five principles:

1. Look everywhere
Inspect the exterior, interior, and surrounding area.

2. Open everything
Test every cabinet door and drawer.

3. Use it
Do not judge the project only by appearance. Test the actual functions.

4. Compare it
Check the finished work against the approved design and specifications.

5. Document it
Photograph and record anything that needs correction before final acceptance.
